Hiring/Budgeted Salary or Hourly Range: The budgeted salary range that the University reasonably expects to pay for this position is $24.95/hr. to $26.31/hr.

Full Salary Range: The full salary range for this position is $24.95/hr. to $42.10/hr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University.

Work Location: UNIV-2537C

Working Days and Hours: Schedule will vary depending on the needs of the department.

Brief Summary of Job Duties:

Support various AS units in the area of Student Financial Assistance Program Administration as an Advisor. Provides assistance to the Associate Director of Finance & Budget in AS' responsibility to properly inform and train A.S. student leadership, organizations and student groups with regard to AS' Financial Policies & Procedures. Conducts workshops for A.S. staff, A.S. Boards and Committees and student organizations, as needed, to communicate information on all A.S. Financial Policies and University Policies and Procedures. Trains new staff and supports procedures and activities for the Community Financial Fund and Community Financial Fund Committee, as needed. Provides general AS Financial Administration support in AS' ongoing budget and financial activities.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training
  • 1-3 years Experience in a higher education administrative, student services, or academic role
  • 1-3 years Experience working in budget and/or financial analysis.
  • 1-3 years Experience working in accounting, finance, or related field.
  • Basic knowledge of advising and counseling techniques.

Preferred Qualifications:

  • Knowledge of University processes and procedures.
  • 1-3 years Experience working with diverse populations
  • 1-3 years Experience developing and delivering workshops and presentations
  • Interpersonal skills.
  • Skills in active listening, and critical thinking.

Job Functions and Percentages of Time:

  • 75% Grants, Loans & Student Financial Assistance Program Administration & Advising - Advises Equal Opportunity Program ("EOP") and prospective Emergency Loans, Disabled Students Program and Childcare applicants in facilitating their eligibility for funding eligibility of their requests in collaboration with related campus departments and associated student bodies, ensuring all approved applications, payments, liens and the tracking/reconciliation are processed in a timely manner. Tracks assigned AS BCU grants and other methods of AS financial support, reviews applications with the respective student Boards, develops and leads related workshops for students, and maintains accurate financial worksheets on the expenditure AS funds. Administers the proper expenditure of funds through its required AS Administration workflows of all approved financial assistance funding by the student boards. Fulfills requests for related policies, guidelines and applications; tracks financial assistance proposals through the review process; and handles correspondence with applicants. Creates and maintains files for all new support as well as catalog and archive closed applications. Manages the foregoing financial assistance process by way of Fluxx and/or other application and financial fulfillment software used by AS Administration. Participates as a contributor to the development of related application software, as needed. Assists the Associate Director for Finance and Budget in ensuring all assigned programmatic support fulfills AS Philanthropic Giving practices. Ensures all proper documentation, per the AS Legal Code, AS Financial Policies & Procedures, the A.S. Administration office and the A.S. Executive Director, are maintained.
  • 20% AS Financial Administration - Sets up and assigns account numbers to all newly established A.S. accounts. Designs and revises various databases, spreadsheets, workflows and forms for administrative use. In collaboration with the Associate Director of Budget and Finance, prepares the underlying data for the annual AS Budget Cycle for the student AS budget hearings, including the preparation of historical budget to expense data. Develops and generates regular cyclical budget reporting for all units of AS, including end-of-year balances and related student body communication. Assists in the regular updating of AS Administration's Financial Policy & Procedures and supports the F&B Chair, alongside the Associate Director of Finance and Budget / F&B Committee Advisor, with the dissemination of the key details associated with this operational guide to students via the authorized signers' workshops and unit presentations. Supports the AS Administration in fulfilling the requested documentation for AS' yearly external audit. Generally, acts as needed as an additional AS Administration subject matter expert in the area of student-led funding, allocations and their translation to AS Administration's workflows for approval/backup documentation requirements and the process of preparing the disbursement journals to complete the booking into AS' financial accounting systems.
  • 5% Training & Support - Trains newly recruited staff members in the role of Community Financial Fund ("CFF") Advisor and the rotating CFF's appointed student board/committee members, as needed. Supports the CFF program's quarterly activities and acts as a backup to the CFF Advisor. In the event of a vacancy, acts as Interim CFF Advisor.
