We are currently looking for a Payroll and Benefits SPeicalist who craves a role encompassing a diverse range of responsibilities that will support their ongoing growth and development, spanning from day-to-day operations to exciting projects and initiatives.

The Payroll & Benefits Specialist provides payroll, benefits, and accounting support to the company. This position has contact with employees, former employees, managers, brokers, state and federal agencies and benefits and payroll vendors. Attention to detail, critical thinking, and a sense of urgency are required. Knowledge of payroll, benefits, and labor law are preferred. This individual will report to the Manager of Total Rewards and must exercise good judgment in fulfilling the responsibilities of the essential job functions.

Responsibilities

Payroll

  • Assist with payroll processing for exempt and non-exempt employees (backup for Sr Payroll & Benefits Specialist)
  • Multi-state SIT & SUI activities including compliance with local, state and federal agencies
  • Review tax notices (federal, state and local) to determine necessary action
  • Calculate manual checks for missing, additional and special pay requests
  • Review and process involuntary wage deductions (IWO, garnishments, levies, liens)
  • Data entry audit of new hires, employee record changes (pay, department, etc.) and terminations
  • Assist with ADP systems administration (backup for Sr Payroll & Benefits Specialist)
  • Audit ADP systems output (pay registers, change reports, timekeeping records) for accuracy and compliance with established standards
  • Audit quarterly pre-processing (941, SIT, SUI returns) and reconcile to wage and tax registers
  • Audit monthly/quarterly UI statements to ensure accuracy of payments to claimants
  • Maintain related records of the accumulation and use of vacation, holiday and sick hours/days
  • Timecard maintenance and support
  • Standard, ad hoc and specialty report writing
  • Provide payroll information, answer questions, explain calculations, taxes and deductions
  • Resolve discrepancies with payroll and benefits matters
  • Maintain relationships with payroll vendor (ADP)
  • Obtain detailed knowledge of federal, state and local regulations and legislation affecting pay, tax and timekeeping (FLSA, DOR/CFR, CCPA, SSA, etc.)

Benefits

  • Process monthly benefit election via ADP enrollment portal
  • Manual entry of off-cycle benefit enrollments and changes
  • Respond to benefit inquiries, assist with resolution of billing and coverage issues in cooperation with brokers and/or vendors
  • Audit & process monthly benefit billing
  • Assist with benefit claim processing
  • Process COBRA enrollments & terminations
  • Audit/reconcile monthly COBRA paid/delinquent reports
  • Assist with 401(k) plan administration including bi-weekly reporting to TPA, monthly enrollments, loan requests, hardship withdrawals, rollovers, RMDs, annual census & audit prep
  • Assist with FMLA, leave management (WC, STD, LTD);
  • Maintain relationships with benefit broker, benefit vendors, TPA
  • Remain current on changing Federal, State and local regulations and legislations affecting benefits, 401(k), (FMLA, COBRA, ERISA, HIPAA, ACA, GINA, etc.)

Reporting & Analysis

  • Analyze, model and provide reporting as requested (examples: 401(k) participation and match analysis, OT analysis by department, bonus percentage structure, etc.)
  • Back up for annual compliance reporting (EEO, VETs)
  • Track monthly billing and fees for ADP services

Position Requirements

Formal Education & Certification

  • Bachelor's degree OR equivalent work experience
  • FPC/CPP desired but not required

Knowledge & Experience

  • HRIS experience, ADP WFN preferred
  • Excel experience and intermediate/expert competence
  • 1+ years of Payroll, HR, Benefits experience

Qualifications & Characteristics

  • High degree of analytical skills
  • Strong attention to detail
  • Ability to establish and change priorities rapidly

Work Environment

  • 24 hours per week on-site, 16 hours per week remote work
  • Sitting for extended periods of time
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools, and other computer components
