Position Summary:
We are seeking a Part-Time Office Manager to provide essential front office and administrative support at our office located in Westlake Village, CA Office. In this role, you will collaborate with employees and leaders across the organization, going beyond traditional administrative tasks. Your responsibilities will include overseeing the Front Desk/Reception area, handling office supplies & office moves, maintaining the kitchen & leading special events. Additionally, as the Office Manager, you will provide administrative assistance to multiple senior executives, primarily in the form of expense report support. Your friendly demeanor and positive attitude will make you the welcoming face of our front desk. This position is 70% office manager and 30% administrative and requires onsite work from Monday to Thursday.
Key Responsibilities:
1. Efficiently Manage Office Supplies and Inventory
  • Assist in maintaining office supplies inventory, including ordering and restocking items.
  • Coordinate with vendors to ensure timely delivery of supplies.
  • Manage inventory levels for office essentials, such as stationery, kitchen supplies, and other consumables.
  • Organize and maintain stock areas efficiently.
  • Restock kitchen supplies as needed.
  • Ensure cleanliness and organization in the kitchen and common areas.
  • Regularly clean out refrigerators.
2. Building and Office Related Tasks:
  • Pick up and distribute mail promptly.
  • Monitor MannKind voicemail and contacts email inbox.
  • Distribute packages within the office.
  • Handle intercompany mail (FedEx).
  • Address building-related issues promptly.
  • Greet and escort visitors with a friendly demeanor.
  • Grocery/Target shopping for office supplies.
  • Organize supply cabinet and mail room.
  • Manage p-card expenses using Concur.
  • Assist with office moves.
  • Restock first aid cabinets and check AEDs.
  • Coordinate the MannKind onsite car wash.
  • Facilitate office tidying and tackle special projects.
  • Holiday decorating.
  • Event coordination (HBA, BioSci Alliance).
  • Coordinate and manage supplies for Culture Club activities, including planning, purchasing, setup, and cleanup.
  • Coordinate fire drills and safety inspections (EHS).
3. Executive Admin Support:
  • Acting as the administrative point of contact between executives.
  • Manage all aspects of travel arrangements, such as booking, preparing travel itineraries, making changes as needed, and submitting expense reports.
  • Scheduling meetings and appointments.
  • Manage complex and dynamic calendars.
  • Appropriately handling executives' requests and queries.
Qualifications:
  • Bachelor's degree with at least 1+ year of administrative experience or relevant experience.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Proficiency in communication tools (email, chat, etc.) and office software (Microsoft Office, Google Workspace, etc.).
  • Independent judgment and prioritization abilities.
  • Prior experience in administrative roles preferred.

Pay Range: $56,000 - $84,000 per year
