POSITION SUMMARY

Under the direction of the Senior Grants Manager, the Grants Associate supports the efficiency of grantmaking processes and systems for multiple departments, grantees, and applicants. The Grants Associate will provide assistance at multiple stages of the grants lifecycle. As a point of contact and partner to program colleagues, the Grants Associate will be familiar with the foundation's funding areas and best practices in grantmaking, data management, and legal compliance.

ESSENTIAL DUTIES & RESPONSIBILITIES

The Grants Associate responsibilities include, but are not limited to, the following:

  • Conducts research on grant requests by verifying the public charity status of organizations and ensures that all grant purposes are in compliance with EF policies and procedures, IRS, and Office of Foreign Assets Control (OFAC) guidelines.
  • Creates and updates contact, organization, and other information related to grant requests.
  • Provides technical support to staff and grantees related to the grants management system.
  • Uploads and attaches documents to grant records in the database.
  • Sends out applications for funding on behalf of program staff, communicating all necessary requirements and deadlines to the applicant.
  • Conducts due diligence on submitted grant proposals; follows up with applicants on missing/incomplete information or other application anomalies.
  • Tracks and follows up on narrative and financial reports, and any other outstanding documentation.
  • Generates grant agreements and sends out to grantees for electronic signature.
  • Confirms accuracy of entries for fields such as project purpose and projected grant amount, payment disbursement dates, reporting dates, etc. in the grant database.
  • Troubleshoots grantee application portal issues.
  • Edits and creates documents and reports in the grant system, as needed.
  • Maintains effective work relationships by handling peer and management interactions in a positive and cooperative manner.
  • Recognizes that we are stronger when we are diverse and inclusive, and embodies these values in both internal and external EF work.
  • Performs other duties and special projects as assigned.

QUALIFICATIONS

  • Demonstrated successful experience in an office setting, preferably in a grants management function.
  • Demonstrated commitment to EF's mission and an alignment with our organizational values.
  • Ability to work in a multi-issue, fast-paced environment, with shifting and competing priorities and deadlines; flexibility while maintaining work flow is critical.
  • Proven ability to produce high-quality data and grant reports and maintain the integrity of data in the grants management system; keen attention to detail and accuracy is imperative.
  • Strong problem resolution and time management skills.
  • Critical thinking and risk analysis skills.
  • Strong verbal and written communication skills.
  • Ability to interact effectively with potential grant recipients, management, and co-workers; and ability and willingness to participate in a remote team environment.
  • Ability to work independently and collegially with minimal supervision.
  • Effective time management skills with the ability to manage multiple deadlines simultaneously in multiple time zones.

  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Experience with Salesforce and a strong technical competency preferred.

INTERDEPENDENCIES WITH OTHER FUNCTIONS
  • Finance department: assist in troubleshooting payment and other financial issues.
  • IT department: help remedy cross-system issues.
  • Program team: aid program colleagues in the management of grants.
SUPERVISION
  • Reports to Senior Grants Manager; no direct reports.
COMPENSATION

This is a full-time position. The target salary for this position is $86,400 for candidates in the San Francisco Bay Area and $77,400 for candidates based in other U.S. locales. EF provides a comprehensive benefits package, including competitive salary, medical, dental, vision, disability, retirement benefits, and paid time off.

OTHER REQUIREMENTS

Ability to travel two times a year for four business days at a time.

WORK ENVIRONMENT

EF is a remote-first work environment. This position may be based in any of EF's offices or may work remotely from anywhere in the U.S.

The office environments include some shared workspace, some individual offices, and shared kitchen facilities, with moderate noise levels and a collegial atmosphere. On occasion, there are activities or events after work hours.
