About the Role
Institute on Aging is looking for a Temporary Executive Assistant/Scheduler to join our Administration Team, collaborating closely with C-Suite and Senior Executive Assistants through June 30, 2023, with potential to extend. The position will require working three days per week (Tues-Thurs) on-site at our San Francisco offices.

Responsibilities include, but are not limited to:

  • Scheduling internal and external meetings using Outlook, MS Teams, and Zoom and meeting set-up
  • Proactively and efficiently optimizing schedules
  • Reserving meeting rooms, staffing meetings, ordering catering, and notifying Facilities Dept. of technical needs, parking for attendees, setting up A/V, occasional errands that may require walking or driving, and other special needs
  • Assisting the Sr. Executive Assistants with data entry, file organization, ordering supplies, document and slide preparation, proofreading, shipping, and other administrative tasks
  • Communicating with and effectively working with staff at all levels of the organization
  • Adjusting and providing updates expeditiously
  • Preparing correspondence and packages for US Mail, FedEx or other couriers
  • Other duties as assigned

Required Qualifications

  • 2-3 years of experience with heavy scheduling using Outlook
  • 2-3 years of administrative support experience
  • Experience using MS Teams, Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
  • Strong organizational and time management skills with exceptional attention to detail
  • Clear written and spoken communication
  • Excellent English grammar and spelling
  • Mature judgment, professionalism, and ability to maintain confidentiality
  • Ability to think creatively and problem solve

Desired Qualifications

  • Desire to work in a collaborative, fast-paced, team-oriented environment
  • Ability to successfully assume increased responsibility
  • Ability to learn systems and applications quickly (Smartsheet, NetSuite, or other applications)
  • CA Driver's License

Physical and Language Requirements:

  • Ability to speak and write English clearly and accurately
  • Ability to comprehend complex written materials and verbal instructions
  • Ability to lift up to 25 lbs
  • Ability to sit/stand and use a computer for long periods of time

Compensation:

Hourly: $30- 37/hr

This amount is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee, which is always dependent on actual experience, education and other factors.

This range does not include any additional equity, benefits, or other non-monetary compensation which may be included.
