Proposal Specialist

Salary Range: $83,000.00 to $95,000.00 depending on experience.

Summary:

Responsible for vendor registrations, proposal and bid (RFI/RFPs) response development, project timelines, deliverables to end- user and associated activities affiliated with the process (such as Executive Management Opportunities Reviews and Award Briefings).

Responsibilities:

  • Be the lead writer and project manager for vendor registrations, RFI/RFPs, capability statements, proposals or client solicitations, coordinate and facilitate strategy meetings, detail the opportunity and response deliverables, establish roles and responsibilities and set the project timeline.
  • Write and distribute bid reviews, meeting notes and action items. Identify and collaborate with subject matter experts to develop and write a concise, compelling and appropriate response that is consistent with corporate brand messaging and ensures overall compliance with policies, procedures and processes.
  • Thoroughly review the bid requirements and supplemental documentation to decipher and analyze customer requirements and deliverables.
  • Identify and resolve issues found in completing tasks.
  • Identify terms and conditions, fundability/revenue recognition issues and resolve them with the appropriate team.
  • Vet and incorporate legal, financial, operational and risk compliance criteria in response and associated submission documents.
  • Manage project issues, resolve and mitigate business risks proactively and independently.
  • Promptly escalate issues when unable to reach resolution. Report on opportunity status and outcomes.
  • Prepare and present the business case to executive management for approval prior to submission.
  • Provide risk/reward analysis, contractual obligations and limitations.
  • Work closely with the pricing team to identify criteria incorporated in the project's financial analysis and in proposal submission documents.
  • Participate in client presentation preparations and client meetings.
  • Prepare and present the award briefing to the cross functional team responsible for the project and oversee the handoff to the implementation team upon award. Complete new account set up forms in collaboration with contracts department.
  • Evaluate and initiate improvements to the content to ensure consistency of information and manage regular database reviews.
  • Work closely with various departments to develop and maintain content library for proposal language and frequently used language.
  • Maintain policy and procedures related to proposal production.
  • Utilize and maintain departmental systems and tools.
  • Identify process improvements.
  • Perform other related duties as assigned.

Qualifications:

  • Bachelor's Degree in Business, Marketing or Related Major or equivalent combination of education/experience acceptable.
  • 5 to7+ years of proposal management of the entire bid life cycle or equivalent relevant work experience such as project management, product marketing, marketing communications, or contract administration experience.
  • 2-5 years of experience working with cross functional teams and managing large, complex cross functional proposal projects.
  • Ability to work on multiple projects simultaneously.
  • Excellent writing, proofing and editing skills.
  • Strong interpersonal and communication skills.
  • Analytical, detail oriented, reliable and able to adhere to deadlines.
  • Proficiency with MS Office Applications (Word, Excel, PowerPoint). MS Project and Visio desirable.
  • Salesforce experience a plus.
  • Knowledge of B2B services, consumer electronics and/or peripheral industry a plus.
  • Must be able to travel periodically.
