Position Summary Information

Primary Purpose
The Finance and Grant Specialist will support the Finance Manager and Assistant Dean of Finance and Administration with a variety of financial, grant, and administrative services. The Finance and Grant Specialist will provide analysis, proposal financial support, and reconciliation reports for Community Legal Services (CLS), California Victims Resource Center (CVRC), and the Law School Administration.
Essential Functions
  • Manage competition and faculty travel budgets. Work with program leads to ensure all policies and procedures are adhered to for travel and provide trending reports and forecasts to departments. Monitor all expenditures and reconcile accounts. Regularly meet with program leads to review account status.
  • Assist with competition team registration and travel arrangements.
  • Coordinate all grant RFA/ RFP documents for electronic storage and facilitate the Cayuse and Cobblestone databases to navigate grants and contracts through the internal approval process.
  • Prepare account and index reconciliations, payment authorizations, journal entries, payroll redistributions and budget analysis reports.
  • Set up vendors in the Account Payable system for CLS, CVRC, and Law School Administration.
  • Assist with financial transactions with vendors and process accounts payable and/or reimbursements and ensure transactions are allowable within the grant or contract.
  • Assist Finance Manager with providing detailed monthly and quarterly reports to program leads.
  • Ensure financial compliance in accordance with the funding agency, federal, state, and University requirements are met.
  • Reconcile and process Pro-Card purchases for CLS, CVRC, and Law School Administration.
  • Assist with the coordination of events for CLS, CVRC, and Law School Administration. Provide logistical support not limited to reserving spaces, arranging IT support, guest travel and processing event documentation.
  • Resolve routine and complex problems with minimal consultation; handle multiple assignments and prioritizes in a constantly changing work environment; recognize and improve administrative and operational processes as needed.
  • Perform other duties and special projects as assigned.

Minimum Qualifications
  • Bachelor's Degree (Two (2) years of full time experience in the same/similar position is equal to one (1) year of completed post high school education coursework).
  • Two (2) years of experience working with budgets or financial reporting.
Preferred Qualifications
  • Bachelor's Degree.
  • Five (5) years of experience working with budgets or financial reporting.
  • Strong verbal, written, organizational, and interpersonal skills.
  • Ability to maintain rules of confidentiality and perform detailed work with accuracy and efficiency.
  • Work effectively under deadlines; perform independent research in carrying out administrative duties.
  • Handle multiple project assignments and determine proper course of action to meet deadlines.
  • Ability to develop and establish relationships at all levels and in cross-cultural environments. Willingness to demonstrate diplomacy, tact, and innate sense of customer service.
  • Advanced skills in MS Outlook, Word, Word Perfect, Excel and PowerPoint.
  • Experience with database management and internet research.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:

Valid driver's license required. Incumbent must also be able to meet the University's fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record.
Hiring Range $18.09 - $23.96 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
